This is so you’re aware and can check that we’re using your information in accordance with data protection law.

Collection of Information

We collect personal information about you, either directly (for example, when you register with us, contact us, or send us feedback) or indirectly (for example, when you browse our Website). We may also obtain personal information about you from third parties, including (1) referencing agents (namely, UK Tenant Data) which provide credit reports about you which we use in order to determine property affordability; (2) inventory companies (namely, Veri-Smart) which provide inventory reports; and (3) utility companies (namely, Wondrwall) which provide information regarding your energy consumption.

We collect, receive and store the following information about you

  • your name, email address, billing and postal address, payment method and contact number. This is required from you to enable us to perform our contractual responsibilities;
  • information which allows us to check that you are eligible for our services, including employment history, address history, household information, and payment performance;
  • information about your tenancy, including any incidents, maintenance, and use of amenities;
  • information when you choose to provide reviews or ratings, account settings and preferences in the Rent Café portal section of our website (which is provided by a third party, Yardi, and is subject to additional terms of use which are available https://resources.yardi.com/legal/rentcafe-agreement-for-property-owners-and-managers/ ). We collect this information in a number of ways, including when you enter it while using our service, interact with our team, or participate in surveys or marketing;
  • your IP address;
  • your activity on our customer portal(s), last log-in and requests; and
  • details of your interaction(s) with our team, such as the date, time, reason for contacting us and resolution, and if you call us, your phone number and call recordings.

In addition, we may use CCTV systems to monitor parts of the building or estate within which you rent a property. This CCTV system may record images of you.

Use of Information

We use information to:

  • provide rental accommodation services to you (which includes managing: (1) your tenancy; (2) your property (including maintenance of your apartment and any communal areas in the building); (3) collecting rent; and (4) use of amenity space and events onsite;
  • update our investors as required, including in relation to any incidents in the building;
  • help us quickly and efficiently respond to inquiries and requests;
  • communicate with you regarding our service (for example by email, portal notifications and SMS), so that we can send you financial documents, updates on maintenance issues, news, surveys and to assist you with operational requests such as password reset requests;
  • carry out our obligations to provide you with the information, products and services relating to the service that we are contracted to carry out;
  • carry out admin tasks on our Website and for internal operations, including troubleshooting, and website safety, security, and analytics;
  • where CCTV monitoring is used, protect our buildings and ensure the safety of our residents;
  • notify you of any changes to our services or our Website; and
  • satisfy legal obligations, fraud prevention, or establish, exercise or defend a legal claim.

We do not carry out automated decision making using your personal data.

The legal bases on which we rely when processing your personal data are:

Legal Bases for Processing

  • consent: where you have given us consent for us to process your personal information for a specific purpose. You may withdraw your consent at any time by emailing us at [email protected] However, please note that, without your consent, the services which we are able to offer you may be affected;
  • contract: where our use of your personal information is necessary for a contract we have with you, or because you have asked us to take specific steps before entering into a contract;
  • legal obligation: where our use of your personal information is necessary for us to comply with the law (not including contractual obligations) or establish, exercise or defend legal claims; or
  • legitimate interests: where our use of your personal information is necessary for our legitimate interests or the legitimate interests of a third party (except where such legitimate interests are overridden by your own interests, rights, or freedoms which require the protection of personal data). Where we intend to rely on legitimate interests as our legal basis for processing, we will conduct a legitimate interest assessment to ensure that such processing isn’t overridden by your interests, rights, or freedoms. Our legitimate interests are: (i) providing rental tenant and key management services to you; (ii) undertaking the health and safety management, and maintenance, of the building; and (iii) update investors as required. Where we have relied on our legitimate interests to process your personal information, you may contact us to obtain more information, including in relation to our assessment of the impact on you.

Disclosure of Information

We may share your personal information with:

  • members of our group or third party service providers who undertake services on our behalf or to assist us. For example, we work with service providers to process credit card transactions or other payment methods and to provide customer assistance with certain maintenance requests;
  • our investors (whose privacy policy can be found here);
  • other third parties where we are instructed to transfer the service provision to a new agent or to enable us to perform our contract as managing agent; and
  • law enforcement or other authorities.

In addition, urbanbubble and its service providers may disclose and otherwise use your personal and other information where disclosure is needed to:

  • satisfy any applicable law, regulation, legal process or governmental request;
  • enforce applicable terms of use;
  • detect, prevent, or address illegal or suspected illegal activities (including payment fraud), security or technical issues; or
  • provide disclosures in connection with the acquisition, merger or sale of our business; or
  • protect against harm to the rights, property or safety of urbanbubble, its users or the public as required or permitted by law.

Transfer of your information out of the EEA

We do not transfer your personal information to any third parties which are located outside the United Kingdom (UK) or European Economic Area (EEA).

How long your personal information will be kept

We will hold your personal information:

  • for as long as we provide a service to you and then for as long as someone could bring a claim against us (this is generally for a period of seven years after termination of the relevant contract); or
  • where we are required to do so in line with legal and regulatory requirements or guidance.
